How VLDB Solutions collects, uses and protects personal data in connection with SovereignDB and this website.

1. Who we are
SovereignDB is a platform delivered by VLDB Solutions, a company registered in England & Wales. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, VLDB Solutions is the data controller for personal data collected through this website.

2. The personal data we collect
We collect only what we need to respond to you and to operate this website:
- Enquiry details you submit through our contact form: your name, work email address, organisation, optional phone number and the content of your message.
- Correspondence you send us by email, telephone or through LinkedIn.
- Technical data generated when you visit the site, such as IP address, browser type and pages viewed, used to keep the service secure and available.
We do not ask for special category data, and we ask that you do not include confidential or personal data belonging to third parties in your enquiry.
3. Why we use it and our lawful basis
- To respond to your enquiry and discuss our services. Lawful basis: legitimate interests, or the steps necessary to enter into a contract with you.
- To manage our client relationship and deliver contracted services. Lawful basis: performance of a contract.
- To keep the website secure and to prevent abuse. Lawful basis: legitimate interests.
- To meet legal, accounting and regulatory obligations. Lawful basis: legal obligation.
We do not sell personal data, and we do not use your enquiry details for automated decision-making or profiling.
4. Who we share it with
Enquiries submitted through this website are recorded in our customer relationship management system, HubSpot, which acts as a processor on our behalf. We also use trusted suppliers for website hosting, email and IT support. All processors are bound by contract to use personal data only on our instructions and to keep it secure.
Where personal data is transferred outside the UK or European Economic Area, we rely on an adequacy decision or on the UK International Data Transfer Agreement and appropriate safeguards. We may also disclose personal data where we are required to do so by law.
5. How long we keep it
We keep enquiry records for up to 24 months from our last meaningful contact with you, unless you become a client, in which case records are retained for the duration of the relationship and for as long afterwards as we are required to keep them for legal, contractual and accounting purposes. Data that is no longer needed is deleted or anonymised.
6. Your rights
Under UK data protection law you have the right to be informed, and to request access to, correction, erasure or portability of your personal data. You may also object to or ask us to restrict our processing, and withdraw any consent you have given.
To exercise any of these rights, email info@vldbsolutions.com. We will respond within one month. If you are unhappy with our response you may complain to the Information Commissioner’s Office at ico.org.uk.
7. Security
We apply technical and organisational measures appropriate to the risk, including encryption in transit, access control on a least-privilege basis, logging and regular review of our suppliers. No transmission over the internet can be guaranteed completely secure, so please do not send sensitive information through the enquiry form.
